Good teamwork is essential for any successful business, but it can sometimes be challenging to achieve particularly when team members are working remotely. That’s why you need tools that can help you collaborate effectively and efficiently with your colleagues, no matter where they are or what devices they use.

Microsoft Teams can help businesses to collaborate effectively if it is used strategically.  The greatest gains are achieved when thought is given to who is going to be involved and what they are trying to achieve before the commencement of a project.

By determining who is involved and in what capacity (whether they are usually in the same team or not), a Microsoft ‘Team’ can be set up from the start as a storage and communication portal for a project. As work progresses, all relevant documentation will then be easily available to the right people, saving time and effort for all Team members involved within the project.

  3. By saving your files within Teams or specific Channels, you can ensure that everyone with access to that document is working from the same version, making collaboration easier and meetings more efficient. This applies whether your team is working onsite or remotely.
  4. Additionally, any updates are clearly visible to all Team members so they will know when new documents have been uploaded or existing ones have been edited.
  5. Chat and video meeting options within the software make it easy to communicate with the rest of the Team.

An example – 3 ways we use Microsoft Teams within Premieredge

We have been incorporating the use of Microsoft Teams into our business more and more over the last year.

  • We use it to store files and collaborate with both internal teams and project teams, as well as increasingly to form virtual project teams with external suppliers.
  • We use Microsoft Teams for online meetings and are currently trialling getting Teams to summarise the meeting afterwards.
  • We have just introduced our own Intranet site within Premieredge which has been created within Microsoft Teams. Examples of the way we use this are:
    • To share internal news and successes.
    • To share any supplier issues that may affect our clients, so that all our staff are aware.
    • To collect information – such as uniform orders.

Summary and Conclusion

We live in a world where all too often technology seems to influence rather than support the way we want to work. Talking to new clients we often discover people have been using systems for years and they are not even necessarily sure why.

Our view is that technology needs to be there to support the way that we work and not vice versa, and that used properly Microsoft Teams can do exactly this.

By thinking about how you want to run a project before it starts, then Microsoft Teams can be a great tool to support this way of working and aid collaboration amongst on-site and remote employees and potentially external contractors too.

By creating Teams and Channels for these groups and storing information and files within them, then all team members have access to the information they need and working together becomes simpler and more effective – which can only benefit businesses.
